Assistants

Accomata has four assistants. They have different names because they have different powers: one only reads, two prepare changes for you to approve, and one works for your customers.

Which assistants are there, and where do I find them?

  • Ledger — on your dashboard and the Assistant page. Reads your books: receivables, stock, orders, deliveries and QuickBooks sync.
  • Stockroom — on Products and Product Lists. Tidies your catalogue.
  • Shopfront — in the Storefront builder. Designs and writes your public website.
  • Ask & Order — on your customers' own page. Answers their questions and fills their basket.

The names come from the parts of a merchant's premises they each look after, so you can tell at a glance which one you are talking to and what it is able to do.

Can an assistant change something without asking me?

No, and the way each one is limited differs:

  • Ledger cannot change anything at all. It is not simply told not to — it is given no tools that write, so there is nothing for it to change even if asked.
  • Stockroom prepares changes. It highlights the affected rows on your Products page and nothing is saved until you click Save.
  • Shopfront edits the draft of your site. Nothing is public until you click Save changes.
  • Ask & Order fills a basket and stops. Your customer still reviews it and places the order themselves.

I asked one to do something and it pointed me at another. Why?

Because each assistant only has the tools for its own part of the business, and it would rather send you to the one that can than guess. Ask Ledger to darken your website header and it will tell you Shopfront does that, in the Storefront builder. Ask it what you charge for a product and it will point you at Stockroom, which can look it up. It names the assistant rather than just the page, so you know someone can do it for you instead of assuming you have to do it by hand.

What can Stockroom actually change?

Ordering units, specials, website visibility, and putting an existing photo onto products that have none — in bulk, across a category, from one sentence. It also answers what is stopping customers ordering and which customers can see which products. It cannot change prices, names, SKUs or stock levels: those come from QuickBooks, are edited there, and the next sync would overwrite anything else.

What can Shopfront change?

Templates, colours, fonts, header style, section layouts, copy, contact details, social links, visibility and your web address. It edits the draft while you watch it happen in the preview beside the chat. It cannot upload a new photo — it can only place ones already in your library — and it cannot change which products appear or what they cost, because that belongs to your catalogue rather than your site.

What does the assistant my customers see have access to?

Ask & Order only ever sees the account of the customer using it — their own orders, invoices, balance, usual order and the products you have made available to them. It cannot see another customer's data, and it knows nothing about your dashboard. You can switch it off entirely for your business in Settings, and your customers simply will not see it.

Can I choose which AI model they use?

Yes, in Settings. You can pick one model for your own assistants and a different one for the assistant your customers use — a business may want a more capable model for itself and a lighter one in front of two or three hundred buyers. Website generation is chosen separately again, because building a site from scratch is a different job from answering a question.

Can I go back to an earlier conversation?

Yes. Every assistant saves your conversations, and you can reopen one from the chat list to read it or carry on. Design chats are the exception: you can read them, but you cannot resume one, because your website has moved on since and the changes it describes may no longer match what is there. Start a fresh chat in the Storefront builder instead.
